Executive Assistant
The Community of European Railway and Infrastructure Companies (CER) office is located in the European neighbourhood in Brussels and includes 17 staff members.
CER is currently seeking to hire a motivated & experienced Executive Assistant to join its team.
General responsibilities:
Reporting to the Head of Administration, the Executive Assistant’s main responsibility is to support CER’s operations by providing administrative support and organising all of the administrative activities that facilitate the smooth running of the office.
Key tasks and responsibilities:
Administration and support
- Provides general administrative support;
- Arranges regular testing for electrical equipment and safety devices;
- Maintains the condition of the office and arranges necessary repairs;
- Maintains supplies of stationery and equipment;
- Monitors office expenditure;
- Monitors & maintains time registration system;
- Liaises with tenants, suppliers, technical services, building management;
- Maintains/develops information from various sources, in particular on the internet;
- Practical organisation of meetings and events in Belgium and abroad;
- Liaises closely with the operations support officer:
- to ensure members/visitors/meeting participants receive adequate support at all times;
- as a back up for handling the contact database and web site.
Support to the Executive Director
- Manages the agenda, handles daily correspondence and draft business letters;
- Provides administrative support (expense reports, travel arrangements and bookings, travel calendar, etc.);
- Follow-up of CER internal and external meetings and events.
Travel
- Researches best transport and accommodation prices;
- Makes hotel bookings, train reservations, orders train tickets and FIP coupons, organises their delivery.
Required skills and qualifications:
- Minimum 5 years’ experience in a similar role after obtaining a bachelor degree
- Proficiency in English and French, a good knowledge of at least one other major European language is a plus.
- Excellent communication skills
- Good organisational skills, able to manage multiple tasks at the same time with attention to detail
- Excellent technical skills, with a thorough knowledge of MS Office
- Positive, cheerful and approachable, professional attitude, solution oriented, and able to remain calm under pressure and to tight deadlines
- Able to work on own initiative and solve problems quickly and effectively
- Reliable, flexible and helpful. Willing to stay until the job is completed
- Team player, able to build good working relationships with colleagues
Terms of contract
- The opening is for a full time position (40 hours/week) with presence at the office as primary mode;
- Terms and conditions are competitive, depending on the experience and qualifications;
- Work location is Avenue des Arts 53, 1000 Bruxelles;
- Starting date as soon as possible.
