What You’ll Do
Office Management Responsibilities
- Keep the office tidy and wellorganized - ensure supplies are stocked, common areas neat, and the workspace inviting.
- Greet and welcome guests, clients, and visitors with warmth and professionalism.
- Assist colleagues with general queries related to office procedures, bookings, and facilities.
- Coordinate travel arrangements (flights, trains, hotels, local transport) for team members and executives when needed.
- Book restaurants or cafés for team lunches, dinners, or client meetings.
- Help plan and execute internal events- team socials, summer/winter parties, team breakfasts, etc.
- Assist with calendar management for executives
HR Responsibilities
- Assist scheduling job posting and interviews with candidates: coordinate calendars, confirm hiring managers and applicants.
- Assist the HR team with drafting internship contracts and related paperwork.
- Support the onboarding and offboarding process
- Maintain and update personnel files and HR databases, ensuring accurate contact and employment information
- Work on exciting HR projects
- In addition to core office and HR responsibilities, you’ll provide flexible, hands-on support to our management team with occasional ad hoc personal assistant tasks
About You
- Education: Bachelor's degree in Human Resources, Office Management or related
- Hospitable & Friendly: You bring energy, empathy, and warmth when interacting with people - internal teams or external visitors.
- Eager Learner: You’re open to new skills and responsibilities, proactive, and happy to ask questions and get involved.
- Organized & Detail Oriented: You manage multiple tasks while keeping things orderly.
- Experience as an Office/HR assistant is a plus but it’s not required
- TechComfortable: Familiar with Microsoft Office or Google Workspace; quick to learn HR tools or booking systems.
- Discreet: You understand the importance of confidentiality when handling employee information and sensitive documents.
What we offer:
• A six to twelve-month internship in accordance with Belgian law (CIP)
• A paid traineeship, with a monthly salary of €1,120 for the first six months and €1,400 for the following six months
