Office Assistant
The CCAM Association is a European association dedicated to advancing research in road transport and, more specifically, new mobility solutions enabled by Connected, Cooperative and Automated Mobility technologies. Committed to fostering collaboration and innovation in the research community and industry, we are seeking a proactive and organised Office Assistant to join our team and contribute to the smooth operation of our office, located on Avenue de Cortenbergh, 66, 1000 Brussels.
Responsibilities
As an Office Assistant, you will be responsible for various administrative tasks, providing essential support to our dynamic team. Your key responsibilities will include:
General administrative tasks:
- Handling emails, files, mailings, deliveries, …
- Coordinating calendars.
- Generating and distributing memos, letters, and forms and drafting other documents.
Front desk:
- Greeting visitors as needed.
Office maintenance:
- Assisting in organising and maintaining office common areas.
- Ordering and overseeing office supplies and food deliveries for group meetings.
Travel coordination:
- Coordinating international travel arrangements.
Event support:
- Support the preparation, organisation, minutes and post event activities related to internal meetings.
- Providing ad hoc support for on-site, online and hybrid events.
- Participating in external fairs and ensuring the visibility of the association.
Communication support:
- Assisting in slides drafting and communication with members.
- Support the external communication activities.
Qualifications
Education:
- Minimum of a high school diploma; additional education in office administration or related field is a plus.
Experience:
- Proven experience – at least 2-3 years – working in an office environment, performing administrative tasks, and supporting colleagues.
- Event planning / communication / expense coordination / developing internal processes experience is an advantage.
Skills
- English at an advanced level, French is an asset.
- Strong organisational, multitasking and time-management skills.
- Excellent written and verbal communication and interpersonal skills.
- Impeccable attention to detail.
- Proficient computer skills and ability to operate general office equipment.
- Proficient in Microsoft Office Suite.
- Ability to handle confidential information with discretion.
- Proactive and solution-oriented mindset.
- Ability to work well under limited supervision.
Benefits and work conditions
- Full-time contract (38 hours/week)
- Office located in Brussels, home office possible under conditions to be discussed
- Salary range (gross salary) – € 30 000 to € 35 000 yearly, depending on experience
- Benefits in kind, such as meal vouchers
- Occasional travel
Expected starting date: February 2025
