SAFE – Safe Food Advocacy Europe was created to ensure that consumer’s health and concerns remain at the core of the EU’s food legislation.  

SAFE strives to ensure safer food standards for consumers by monitoring the EU food legislation process and cooperating with EU stakeholders to draft comprehensive food regulations. 

About the Role 

The Office Coordinator will be part of a dynamic and international team, having the chance to play a key role in a growing organisation located in Brussels. 

  • Reporting to the Secretary-General and Deputy Director, the Office Coordinator is going to perform the following duties: 
  • Manage the day-to-day operations of the office, including facilities, supplies, equipment, and service providers. 
  • Ensure the office always runs smoothly and efficiently. 
  • Serve as liaison with SAFE members, fostering effective communication and support. 
  • Provide coordination and logistical support for organizational events. 
  • Arrange domestic and international travel for staff, including accommodations and itineraries. 
  • Coordinate with the payroll provider to ensure accurate and timely processing. 
  • Monitor and maintain employee leave balances (annual leave, sick leave, special leave). 
  • Track contract end dates, renewals, and other critical deadlines to ensure compliance. 
  • Liaise with managers on staff absences and ensure all documentation is properly recorded and filed. 

About the Requirements: 

Essential: 

  • Relevant education and/or work experience, preferably in an international environment. 
  • 5+ years of experience in administrative task and basic HR support. 
  • Basic knowledge of Belgian labour and employment law, payroll practices. 
  • Comfortable working with external HR service providers (legal, payroll). 
  • Strong interpersonal, organisational and communication skills. 
  • Discreet, trustworthy, and proactive. 
  • Strong command of the English language. 

Desirable: 

  • Working Knowledge of French an asset. 
  • Experience with HR software
