Intern – Administrative and Financial Assistant
A.SPIRE is looking for a full-time stagiaire/intern to support A.SPIRE’s administration team.
Contract: Convention d’Immersion Professionnelle (CIP)
Starting date: The preferred starting date for this position is 13 January 2025.
Duration: 6 months
As a Trainee, you will be required to assist and implement in:
• Support to A.SPIRE Secretariat on different aspects related to the administration of the activities, expenses and membership of the association.
• Processing payments to providers
• Issuing membership fee invoices
• Support in defining and following budgets, tracking and recording expenses, archiving invoices, etc.
• Support in calendars management, planning and scheduling meetings, including logistical arrangements and agenda preparation.
• Contributing to organising governing bodies' activities (Board of Directors and General Assembly).
• General administration and day-to-day office tasks (filing and archiving documents, dealing with information flows by mail or phone, contacting suppliers);
• Support to coordinate virtual and on-site workshops and meetings for our members and stakeholders, assisting with logistics as needed.
• Supporting to ensure the administration and functional operation of online collaborative tools (Office 365).
• Other ad hoc tasks as requested.
You will interact with the A.SPIRE team, specially with the Executive Assistants, and may also be in contact with senior-level internal and external contacts, members and suppliers. You will regularly handle confidential and sensitive data (of the association, its team and its members) and will be required discretion and confidentiality.
EDUCATIONAL SKILLS
• Recent graduate in administration, finance, office or business management, or other related fields of work in a busy environment handling administrative matters.
• Knowledge about the EU and its institutions.
• Excellent spoken and written English. Good knowledge of French. Other languages are an asset.
• Advanced IT skills including Microsoft Outlook and MS Office, excellent command of Excel is required.
• Analytical and organisational skills, attention to detail.
• Excellent communication and writing skills.

• High level of tact and integrity due to the sensitive nature of information
• Flexible to take on other tasks as appropriate
• Collaborative and teamwork spirit
• Should be able to multitask effectively with a high attention to detail

• Available to travel for events and other ad-hoc meetings in Brussels and Europe
• Based in Brussels or interested in moving to Brussels
REMUNERATION
€ 1 200 gross per month (full-time paid internship) plus meal vouchers and public transportation allowance.
