Ecsite is the professional association for Science Centres and Museums from across Europe and beyond. With 300+ member organisations, the Ecsite Team, based out of Brussels organise events, activities and more for the members. Our flagship event, the Ecsite Conference is hosted by a member annually and includes the Ecsite Tradeshow, which is important for attendees to find new products and services.

Job Summary

We are seeking a proactive and highly organised Trade Sales & Administration Assistant to support the smooth administration of the Tradeshow exhibition sales and sponsorships and to provide administrative support to the Communications and Membership team. This role is ideal for someone who has an excellent standard of English, thrives in a fast-paced, multicultural environment, enjoys working collaboratively across teams, and has a keen eye for detail.

Key Responsibilities Exhibition Sales Support

       Manage the administration of trade show exhibition sales, including:

o   Processing exhibitor bookings and confirmations

o   Coordinating exhibitor documentation, floor plans, and logistics

       Maintain accurate sales records, CRM entries, and reports

       Act as a point of contact for exhibitor queries and support

       Liaise with venues, contractors, and suppliers to ensure smooth event delivery

Administrative Support – Communications & Membership

   Provide administrative support to the Communications and Membership team, including:

o   Coordinating membership applications, renewals, and data entry

o   Assisting in the production and distribution of newsletters, marketing materials, and digital communications 

o   Supporting the execution of member events and webinars

o   Maintaining up-to-date membership and communications databases Track engagement metrics and compile monthly reportsSkills and

Experience: 

This is an entry level position for someone having had a only first experience in an office environment

Essential:

       Strong administrative and organisational skills

       A first experience working in a sales support, events, or membership environment

       Excellent written and verbal communication skills in English

       High proficiency with Microsoft Office (Excel, Word, Outlook) and CRM systems

       Strong attention to detail and ability to manage multiple deadlines

       Proactive and customer-focused approach

Desirable:

       Experience with events or trade shows

       Familiarity with membership organisations or trade associations

       Knowledge of marketing or digital communication tools (e.g., Mailchimp, CMS platforms)
